Re: Examiner Resource Application Update

On September 20, 2019, you received an email announcing the forthcoming released of the Examiner Resource Application (ERA). ERA was initially scheduled to be released this month, December of 2019. However in order to better support testing requirements and allow sufficient time for training to be completed, we will now target March 2020 for ERA rollout. I will be sending you updates and details regarding the launch of ERA and training opportunities in 2020, leading up to the rollout.

In ERA, court-appointed examiners in adult Rule 20 and commitment proceedings will be able to:

  • Update their profile information online;
  • Track current and past court appointments;
  • Access orders appointing examiners;
  • Generate invoices without entering case information; and
  • Track payment information within ERA.

Your feedback is important to us and can improve this system. If you would like to assist the State Court Administrator’s Office in testing ERA, as an examiner, prior to the system’s launch, please contact me by Thursday, December 19. Testing sessions will be scheduled between Monday, December 23 and Wednesday January 8. Examiners will be compensated at $75 per hour for a 2-3 hour testing session.

The State Court Administrator’s Office will be rolling out a new invoicing system for examiners conducting court-appointed commitment and Rule 20 evaluations for the Minnesota Judicial Branch. The Examiner Resource Application, referred to as ERA, will launch in December 2019 and replace the current invoicing system in use since 2009.

In ERA, examiners will be able to: * Update their profile information online;

  • Track current and past court appointments;
  • Access orders appointing examiners;
  • Generate invoices without entering case information; and * Track payment information within ERA.

WebEx training sessions will be provided to examiners prior to the rollout of the new system. Training is tentatively planned for early December.

Starting the day ERA is launched, examiners will be able to track new examiner appointments and invoice for these examinations using ERA. To accommodate the need to wrap up invoicing in the existing system and begin working in ERA, there will be an overlap in the use of both systems for approximately 3 months. The existing system will eventually be shut down after ERA is rolled out.

To prepare for the transition, examiners are encouraged to begin saving any past invoice data they may need for their personal record keeping before the existing system is shutdown. Examiners are also encouraged to be as up-to-date as possible with their billing by the end of November.

Further details about the transition to ERA will be sent in the weeks between now and the December rollout.
